Here we answer frequently asked questions from librarians to the National Diet Library.

How can I make a request via the Internet?
A
Please apply for our user registration system beforehand. For more information, please refer to "User Registration for Institutions."
With the user ID number and the password given to registered users, log onto the NDL Search and go to the Bibliographic Record screen. Select the material you wish to copy and click the Remote Photoduplication button to display the input screen. Please refer to the NDL Search Help to learn how to make photocopy request.

Q
When applying for copying, what sort of information do I need?
A
The item be in the National Diet Library's collections, and the Library requires information such as call number and volume number that identify the materials you want and information clearly that indicates the location to be copied in the document. Please check NDL Search etc. in advance.
Book
  • Book name
  • Specific chapter name, title of paper etc., (refer to table of contents for locations to be copied), and relevant pages
Journal
  • Periodical name
  • Issue number or exact date of publication
  • Title of paper, author's name, and relevant pages
Newspaper
  • Newspaper name
  • Edition (e.g. Tokyo edition/Osaka edition etc.)
  • Publication date
  • Specified morning or evening edition
  • Article name (heading) and relevant pages

What about payment methods and the costs of ordering copies?
A
In addition to copying fees, postage and delivery fees will be charged (at actual cost).

How many days does it take for copies to arrive?
A
Normally, delivery takes about 5 business days after your application is accepted. This does not include the number of days it takes for mail or courier delivery.
However, depending on the application content and status of the materials, it may take longer to deliver. Moreover, you are not able to specify the delivery day.

Q
I applied for multiple copies on the same day, but they arrived in several separate lots. Why is this?
A
There are four main reasons, listed below:
  • Copied materials may have been sent out from the respective holdings of different libraries (the Tokyo Main Library, the Kansai-kan Library, or the International Library of Children's Literature).
  • The copies of the requests which are selected and clicked the "Submit this Request" of button of the screen of "Remote request for photoduplication" of NDL Search send together in a single package.
  • An envelope is packed and sent out to each applicant. (If applying via other libraries etc.)
  • For some applications, the Library needs to confirm content and collection details, which may take some days to complete.

Can I cancel or amend a copying order after making the application?
A
As a general rule, applications cannot be canceled or amended. If you find that there is an error in your request, you can cancel the request while its status is shown as "Specifying the portion to be copied" or "Holding" on NDL Search. But if the copies have already been made, we will send them to you and request that you pay the fee.

Issues of periodicals that I am searching for in NDL Search do not appear in the "Collection Details" screen. How do I apply for these?
A
Some issue numbers other than those displayed in the holdings of NDL Search are marked "一覧に表示されない資料を所蔵しています (Holdings include materials that do not appear in this list.)" In such cases, select this material and click "Add to cart" button to request photocopies. Input screen is displayed, enter each field and add to your cart.
